Re: Reporting attendance for Quarterly reports

Post by rclose »

I need to make an adjustment in the meeting attendance for the quarterly report. I read the message that I can do this as a Ward Clerk by going to the "Attendance Tool". I can not find the Attendance tool anywhere. I also need to adjust the Elders Quorum and Relief Society interviews that were done. They say that they changed them in their member tools but I don't see any change in the Quarterly Report. I am now overdue for the report . Does the report changes shut down after a period of time as this report was due for the July Report. There are other changes on the report that I need to make but I can't seen to but a few things.

Go to LCR > Reports > Class and Quorum Attendance Report to make the changes to class and quorum attendance. Use the Sacrament Meeting Attendance report for the sacrament meeting. Note that the quorum and class attendance report records attendance for individual members by date (Sundays). It is not an overall number that used to be entered directly into the quarterly report.

The ministering interviews are recorded at LCR > Ministering > [Elders Quorum or Relief Society] Current Assignments. Then select "Previous Quarter" in the period covered drop-down list box.

The due date was 15 July. But changes can be made for quite some time. There is a closeout date in which data is sent to the finance department to begin computing unit quarterly allowances. I have only heard anecdotally that date is near the end of the first month following the end of the quarter.

The only direct input to the quarterly report is the information on converts in the Convert Detail section. All other information in the quarterly report comes from the Sacrament Meeting and the Class and Quorum Attendance reports and membership records.

Due to the large number of our ward members who have moved out without forwarding addresses, Is there a way to modify attendance rolls, omitting these names, so the secretaries aren’t overwhelmed by the amount of members who have moved out?

The attendance rolls cannot be modified to remove names. The appropriate method to handle members who have moved out without providing a forwarding address is to follow the instructions in the Help Center article Move Records Out. When the records are moved out, the records go to the Leader and Clerk Resources (LCR) Finding Lost Members report. "The members shown in this list are not counted as members of the ward and will not be included in any member list, report, or any statistical report."

The following are the instructions at the top of the report: "When a member moves out and a new address is not provided, please follow each of the steps below to obtain the member's new address. The Church needs your help locating these individuals that were last known to be in your unit. Please do the following before moving the records back to Church Headquarters:

Seek to communicate using phone, email, social media channels, or other resources available to your area/community.
Contact known family or friends of the member.
Contact the occupant of the member's last known address.
Obtain the Bishop's approval to return records to Church Headquarters."

The ward clerk, assistant ward clerk, and assistant ward clerk - membership can move the records out to the Finding Lost Members report as well as moving records from the Finding Lost Members report to Church headquarters. The Elders Quorum presidency and the Relief Society presidency take the lead in directing the finding as part of the ministering program.
